Who we are

This website belongs to PlainSight Dashboards (company details to follow). For any privacy question, email hello@plainsight-bi.co.uk.

What we collect

Only what you type into the contact form or send us by email: your name, company, email address and, if you choose, the systems you use and a message. The website itself does not store any of your details.

Why we use it

To reply to your request and to discuss a demo or quote with you. Our lawful basis is our legitimate interest in responding to your enquiry, and taking steps at your request before entering into a contract. We will not send you newsletters without your consent.

Who processes it

The form is sent through Web3Forms, which forwards the message straight to our mailbox. Your message arrives in our business mailbox at Google Workspace. The website is hosted by Cloudflare. All three only process what is needed to provide that service.

How long we keep it

If we don't end up working together, we delete your enquiry within 12 months. If you become a client, we keep our correspondence for as long as we work together and afterwards for as long as the law requires.

Our dashboard service for clients

For our clients we build and run dashboards that read data from their own systems, such as their practice management software (for example Dentally) and their accounting software (for example Xero). For that data the client is the controller and we are a processor: we process it only under our data processing agreement with that client and only to run their dashboard.

  • Access: the client grants access themselves, for example through "Connect to Xero", and we request read-only permissions. We do not change anything in their systems. The client can disconnect at any time (in Xero under Settings → Connected apps).
  • What we use: only what the dashboard needs, such as appointments, invoices, payments and cost totals. Sensitive fields such as patient names are stored encrypted; salaries only as totals.
  • How we use it: never for marketing, never sold, and never used to train AI or machine-learning models.
  • Storage and security: on a separate server per client in London (DigitalOcean), with encrypted connections (HTTPS), encrypted backups, access only for authorised users with a personal account, and an audit log of sign-ins and changes.
  • Retention and deletion: for as long as the service runs. Afterwards we delete the data within 30 days; backups expire automatically.
  • Data breaches: we tell the client straight away about any actual or suspected breach, and where it involves their data also the provider of the connected system, such as Xero.

If you are a patient or employee of one of our clients and have a question about your data, please contact that organisation; we help them respond.

Cookies and statistics

Your rights

You can ask to see, correct or delete your data, and object to how we use it. Just email us. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ico.org.uk).
